Refund Policy

At VelMentor IT Academy, we strive to provide high-quality, instructor-led IT training. We understand that unforeseen circumstances may prevent you from attending a course after you have paid. This policy outlines the specific conditions under which refunds are granted.

Important Note on Fees and GST: All course fees displayed on our website and literature are exclusive of Goods and Services Tax (GST). A compulsory 18% GST will be added to the final amount during the payment process. Your total payment includes this tax component.

1. Refund Eligibility
​
We categorize refunds into four stages based on when the request is made relative to your scheduled start date.

A. Pre-Course Cancellation – Before 24 Hours (Full Refund)

Condition: You must notify us via email at least 24 hours before your first scheduled live session.

Refund Amount: 100% of the total payment received (including the 18% GST component).

Note: No administrative fees will be deducted.
B. Pre-Course Cancellation – Within 24 Hours (Partial Refund)

Condition: If you cancel within 24 hours of your first scheduled live session.

Refund Amount: 50% of the total payment received (including the corresponding 50% of the GST component).

Note: The remaining amount covers reserved trainer time and administrative processing.
C. The "First Session" Guarantee (Partial/Full Refund)
We want to ensure the course is the right fit for you.

Condition: If you attend the first live session and determine that the teaching style, curriculum, or technical level does not meet your expectations, you may request a withdrawal with proper reasoning.

Deadline: You must submit your refund request within 24 hours after the completion of your first session.

Refund Amount: 75% of the total payment received (including the corresponding 75% of the GST component).

After the Deadline: If you continue to the second session or do not notify us within 24 hours of the first session, you are considered fully enrolled, and no further refunds will be issued.
D. Non-Attendance / "No-Show"

If you pay for a course and fail to attend the first session without prior notice, you are not eligible for an automatic refund. However, we may offer to reschedule you to a later batch at our discretion.
2. How the "Hours Per Day" Schedule Affects Refunds
Since you selected a specific intensity during enrollment, please note:

Refunds are for Course Withdrawal, NOT Daily Absences:

If you are enrolled in a 4-hour-per-day schedule and miss one day due to personal reasons, no partial refund will be issued for those missed hours.

The instructor has reserved that time block specifically for you. It is your responsibility to attend all scheduled sessions.

3. Non-Refundable Scenarios
Refunds will not be granted in the following situations:

Change of Mind Mid-Course: Requests made after the "First Session Guarantee" window has closed.

Technical Limitations: If you are unable to attend classes because your own computer or internet connection does not meet the requirements outlined in our Terms.

Code of Conduct Violations: If you are removed from the course due to harassment, recording of sessions without permission, or disruptive behavior.
4. Instructor Unavailability
In the unlikely event that VelMentor IT Academy cancels a scheduled session or course:

Course Cancellation: If we cannot run the course at all due to instructor unavailability, you will receive a 100% refund.

Rescheduling: If an instructor is sick or unavailable for a specific day, we will reschedule that session. No refund is issued for a single rescheduled session unless the new time is impossible for you to attend, in which case a pro-rata refund for that specific session may be discussed.
5. Processing of Refunds and GST Requirements

Mode of Refund: All approved refunds will be processed using the original mode of payment used for the course fee transaction (e.g., if payment was made via UPI, the refund will be sent back via UPI; if paid by credit card, it will be refunded to that card).

Refund Calculation: The refund percentage specified in Section 1 (A, B, or C) is applied to the total amount paid, which includes the 18% GST component.

GST Handling: The corresponding GST amount is refunded in proportion to the course fees being refunded. The necessary GST reversal/adjustment will be managed by VelMentor IT Academy in our subsequent tax filings.

GSTIN Display: Our GSTIN will be clearly displayed on all official invoices provided upon payment. For any GST-related queries concerning a refund, please contact us directly.

Timeline: Once approved, please allow 5–10 business days for the funds to reflect in your bank account, depending on your bank's processing times.

Confirmation: You will receive an email confirmation once the refund has been initiated by our accounts team.
6. How to Request a Refund
To initiate a return, please contact our support team with your Enrollment ID and the Reason for Cancellation.
